What we collect, and why
We only collect personal information that you give us, plus the basic technical information every website receives in order to serve a page.
| Information | Where it comes from | Why we have it | Lawful basis |
|---|---|---|---|
| Name, business name, email address, telephone number, site postcode, and anything you type into the message box | The enquiry form on our contact page | To answer your enquiry, arrange a site visit and discuss hosting or buying a machine | Steps taken at your request before entering into a contract, and our legitimate interest in responding to people who contact us |
| Your email address, telephone number and the content of your message | Emails and phone calls you send us directly | The same — to deal with what you got in touch about | Legitimate interests, or performance of a contract if you become a customer |
| IP address, browser type, the pages requested and the time of the request | Automatically recorded in our hosting provider's server logs | To keep the site running, diagnose faults and protect it from abuse | Our legitimate interest in the security and reliability of the website |
We do not collect special category data, we do not build profiles of visitors, and we do not use automated decision-making.
Who we share it with
We do not sell personal information and we do not share it for anyone else's marketing. We do use a small number of service providers who process information on our behalf:
- Netlify — hosts this website and receives enquiry form submissions on our behalf. Netlify, Inc. is based in the United States.
- Our email provider — carries and stores the emails we exchange with you.
We may also disclose information where we are required to by law, or where it is necessary to establish, exercise or defend a legal claim.
Transfers outside the UK
Because Netlify is based in the United States, information submitted through our form may be transferred outside the UK. Where that happens, the transfer is covered by the safeguards the provider has in place — the UK Extension to the EU–US Data Privacy Framework, or the International Data Transfer Addendum to the European Commission's standard contractual clauses.
How long we keep it
- Enquiries that do not lead to business: up to 24 months from your last contact with us, then deleted.
- Customers and hosting partners: for the length of the relationship and then six years afterwards, which is the period we need to keep business and accounting records.
- Server logs: retained by our hosting provider for a short period, typically no more than 30 days.
Cookies and similar technology
This site is deliberately light on this front. There is no advertising, no tracking pixels, no social media embeds, and the fonts are served from our own domain rather than a third party — so loading a page does not tell anyone else that you visited.
| What | Type | Purpose | How long |
|---|---|---|---|
vb-consent (browser local storage) |
Strictly necessary | Remembers your cookie choice so you are not asked again | Until you clear your browser data |
| Analytics | Optional | Would tell us which pages visitors find useful. None is in use at present. If we add it, it will only run if you accept it. | — |
Strictly necessary storage does not require your consent. Anything optional is switched off unless you actively turn it on, and you can change your choice at any time using the cookie settings link at the bottom of any page, or by clearing your browser's data for this site.
Your rights
Under the UK GDPR you have the right to:
- ask for a copy of the personal information we hold about you;
- have inaccurate information corrected;
- ask us to delete information, where there is no good reason for us to keep it;
- ask us to restrict how we use it while a concern is looked into;
- object to us using it on the basis of legitimate interests;
- ask for the information you gave us in a portable format; and
- withdraw consent at any time, where we relied on consent.
To exercise any of these, email sales@vendabrolly.com or call 01227 255 000. We will respond within one month. There is normally no charge.
Complaints
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office, the UK regulator for data protection.
